Job Purpose

Coordination of all functions as well as telephonic/face to face sales calls as per acquisition strategy and maintaining retention of current database and marketing for the department. Assisting with other Food & Beverage facilities reservations on a daily basis


€¢ Matric/Grade 12 €¢ Hotel School Diploma or equivalent National Qualification at a Diploma level preferred


€¢ 2 years€™ experience in banqueting or events co-ordination is preferred

Skills and Knowledge

€¢ Experience using intermediate computer skills

Key Performance Areas:

Experience and competencies required: €¢ Being the point of contact for the property Banqueting Teams €¢ Liaising with conferencing clients with regards their banqueting / event requirements €¢ Coordinating pre-conference meetings / billing instructions with clients €¢ Co-ordinate and communicate function plans €¢ Providing administrative support to the banqueting operations to ensure the seamless implementation and consistent delivery, and professional execution of the conferencing product. €¢ Document booking and confirm with sales / client. €¢ Update system with bookings, special requirements and any amendments. €¢ Book meeting venues according to meeting requirements €“ number of people, equipment, times, access to floor, accessibility, refreshments, and time frames. €¢ Co-ordinate required equipment and ensure all in working order e.g. Air Conditioning, Laptop, Proxima etc. €¢ Communicate function sheets to banqueting department and other relevant stakeholders €¢ Compile and distribute billing instructions on event to relevant banqueting department €¢ Management of the fee invoice and payment paperwork trail. €¢ Complete banqueting close-out reports €¢ Maintains regular communication with sales and banqueting teams in the business unit €¢ Departments / staff are informed of information required to meet their needs and contributes to operational effectiveness Work conditions and special requirements €¢ Ability to work shifts that meet operational requirements €¢ Mobility and ability to move around as per job requirements (including with the use of aids) €¢ Physically able to move operating equipment €¢ Telephonic and site visits as part of sales in order to grow business €¢ Driver€™s licence is beneficial
