Job Purpose

The Internal Sales Co-ordinator will be responsible to formulate, check and monitor sales quotes and contractual agreements for groups and leisure conferencing business for the property, and provide pre-event administrative support, ensuring the seamless implementation, and consistent and integrated delivery of services provided by the Internal Sales department to all internal and external clients and stakeholders.

Education

€¢ Grade 12

Experience:

€¢ Experience in a customer services environment with exposure and knowledge of travel and tourism environment is an advantage
€¢ Experience should include track record in administration and co-ordination of information

Key Performance Areas:

Sales Proposals & Bookings 

€¢ Have a thorough and updated understanding of the resort property and the Customer Value Propositions
€¢ Respond and follow-through on leads received by the resort for any new groups and leisure conferencing events
€¢ Compile client proposals and quotations detailing requirements, pricing and activities according to client / tour operators expectations
€¢ Check venue availability and make bookings in the system, ensuring the event is accurately captured
€¢ Make recommendations if necessary with regards event venues and bookings to ensure plans align with customer expectations and size of event
€¢ Liaise with reservations to confirm rates and block accommodation in the system, in line with events requirements.
€¢ Liaise with operating departments on quotes for food, entertainment excursions, etc for inclusion in quotations
€¢ Co-ordinate the compilation and approval of contracts, including details and pricing in line with customer expectations
€¢ Compile proforma invoices for the event,
€¢ Follow-up with Group sales to ensure 10% deposit and all paperwork is obtained and authorised respectively, in line with event plans, prior to the event
€¢ Respond to queries with accurate information, upselling where possible
€¢ Communicate any details with customers and other relevant stakeholders
into

Client Database Integrity

€¢ Capture and update profiles, booking data and rates into the system
€¢ Input special deals and rates
€¢ Tracks sales and costs by analysing and entering sales, expense, and new business data.
€¢ Provide input into sales reports including projected sales data and forecasted business requirements.

Sales Administrative Support

€¢ Co-ordinate and communicate logistics for appointments, site visits, meetings, presentations and events
€¢ Communicate events dates and information to team and ensure details are updated on the calendar
€¢ Keep records of all sales quotations and contractual information
€¢ Keep management updated of any challenges with regards to finalisation of bookings
