Job Purpose

Responsible to co-ordinate processes and provide support to the marketing services team for the recording, tracking and follow-through on the delivery of creative content, in line with deadlines, brand requirements and company standards, ensuring the seamless implementation and consistent delivery of services provided by the marketing services creative team in line with client briefs.

Education

  • 3-Year AAA Degree / Diploma in marketing, communications or advertising

Experience:

  • At least 2 years€™ experience in projects and / or traffic co-ordination, preferably within an agency environment
  • Experience in leisure, hospitality or entertainment industry is a strong advantage

Key Performance Areas:

  • Receive and channel traffic flow requests from properties and the business via the Marketing Services support team
  • Keep up to date records and a daily status update of all requests / projects received by the department, as well as agreed deadlines
  • Track timelines and follow through on various project activities, in consultation with various team members
  • Facilitates and escalates requests and obtains approval that exceed agreed terms when required
  • Follows-through on progress with relevant stakeholder to ensure timeous delivery in line with agreed SLA
  • Keeps relevant stakeholders up to date and is quick to alert stakeholders and / or team members should problems arise
  • Develops and sustains strong professional relationships with key internal customers as well as external suppliers
  • Compile job bags, including the printing of work briefs for distribution to the creative team
  • Follow-through on jobs being performed by the creative team, ensuring updates are captured into the system including where the work is in process, with the client, production requirements, brief amendments, process debriefs, etc.
  • Works closely with creative team to ensure follow-through on final materials for publication within timelines
  • Close jobs in the system according to notifications and work completed
  • Follow-through on jobs being performed by illustrators and storyboard artists based on instructions from designers
  • Works closely with printers ensuring follow-through against timelines to ensure that creative concepts are ready for production
  • Provide input at weekly meetings and compile minutes to record deliverables by each accounts manager
  • Follow-up on outstanding work required to deliver the SLA, escalating any challenges or obstacles to the manager for resolution
  • Liaise and communicate with the support team around any expected obstacles, challenges or delays
  • Participate in providing administrative support to the marketing services office (including e-mails, mail and telephone)
  • Allocate and reconcile costing and supplier invoices correctly and resolve all queries
  • Submit departmental expense claims to the Finance department as per company policy and procedures.
  • Order stationery, paper and other consumables (as per company procedures), ensuring availability on demand.
  • Develop a filing system (including records and reports) that enables others in the department to be able to access required documents, including storing confidential documents for safe keeping
  • Coordinate the flow of paper and electronic documents to the appropriate parties
  • Follow through on outstanding issues and action lists from minutes with relevant HODs
  • Act as a resource on special projects and provide administrative support as required by the marketing services team.
  • Performs updates to marketing services processes including SOPs, templates, FAQs
  • Provide departmental onboarding for new employees within the department, including liaising with new staff members re the completion of starter packs / contracts
  • Ensure new staff have necessary equipment, stationery and security tags
